Shipping manual for WAC 2005 in Münich , Germany

Dear participant,

We are proud to inform you that DHLTrade Fairs & Events in Stockholm is appointed to be the official freight co-ordinator for the above event.

This shipping manual will assist you in your preparation for the correct and timely despatch of exhibits to Münich. Please follow our instruction closely. In order to arrange a safe and secure transport to this event we recommend you to contact our partner in your country. Please see separate file of our partners. Please do not forget to send us a pre-notice about your shipment (Nos of pcs, Kos, Volume etc.) in order for us to supervise a timely delivery.

I General information and instructions

A/0 Arrival deadlines

The latest arrival date for cargo arriving by:
Airfreight at Munich airport 17.06.2005;
Road Freight at our warehouse on 22.06.2005 (EU goods), 17.06.2005 for each other countries
Road Freights direct to the exhibition: 25-26/06-2005 only
Ocean Freight FCL Hamburg ports 10.06.2005; LCL DE inland clearing depot 10.06.2005.

Please note that these deadlines must be strictly adhered to. Should any cargo arrive after these dates, we cannot accept responsibility for late delivery and extra charges that may be incurred.

A/1 Exhibition Dates & Hours

25-26 June, 2005 Exhibition build up stands with floor space only
26 June, 2005 Exhibition build up shell schemes
26 June – 1 July, 2005 WAC 2005 Congress
27 - 30 June, 2005 ( 09.00-17.30) Exhibition opening dates and hours
30 June – 1 July Breakdown (will start after 17.30 on June 30)

B Packing of your exhibits

We recommend the use of durable crates with screw-down lids to prevent loss or damage. Please note all shipments will routed via our local warehouse, it is therefore imperative that materials are crated or palletised to enable the multiple handling, stacking and handling via a forklift or pallet truck.

C Marking of the cases

All packages should be marked clearly as follows:

Dimensions : width x length x height cms.
Gross weight : kgs.
Net weight : kgs.
Package no. : (number of case/ total number of cases)

Please fill in the last line correctly, as this ensures that you will receive all the cases. For example: 2/5 indicates that this case is the second case from 5 cases in total.

D Heavy weight or oversized exhibits

If you intend to send goods that exceed a height or a width of 2.00 meters (78.7 inches) and a weight of 1,500 kgs (3,308 lbs.), we ask you to contact us in order to plan the delivery and on-site handling.


II Required documents

The following section is only applicable to exhibits arriving from outside The E.U.

A Invoices and packing lists

The following documents are required for all shipments
In case you use an ATA-Carnet (see over for further instructions), the following documents are also required in addition to the ATA-Carnet.

- 5 copies of your commercial invoice
- 5 copies of your packing list

If you intend to ship goods by airfreight or by truck, we need the following copies to be attached to the airway bill/CMR/Truck Bill of Lading:

- 4 copies of your normal invoice
- 4 copies of your packing list

B Combined Commercial Invoice & Packing List (EU and Non EU)

The invoices or pro-forma invoices must include a description of every item. For all items you must have a value per item and total value of the items. It is not allowed to show 'no value' or 'no charge'. If any item does not have a commercial value, you must assign a 'value'. Goods that will not return to the country of origin have to be mentioned on a separate invoice. Please ensure that every invoice has an original signature and is endorsed with your company stamp.

We strongly recommend that exhibitor’s make use of our Combined Commercial Invoice & Packing List for this purpose, a copy of which is enclosed herewith.

C ATA-Carnet or …………. Temporary Import Bond

German Customs will accept an ATA-carnet for temporary import, alternatively you can utilise our temporary import bond. This is a simplified import procedure whereby:

All consignments customs cleared for temporary importation into Germany against our Customs guarantee remain under our control at all times. The exhibitor will be liable for full payment of German Import Duties, Taxes & Penalties applicable to any goods not handed over/declared to us for re-exportation at the close of the exhibition
To utilise our bond please use the enclosed Combined Commercial Invoice & Packing List temporary import will be automatic.

In the event an ATA Carnet is used then we will require your authorization to handle through Customs by means of a letter on your company letterhead with the following text:

'We/I hereby authorize …………. and their appointed agents to sign on and to act on our/my behalf for ATA-carnet no. (number)____________________________

Please sign this letter, endorse it with your company stamp and send the original with the ATA-carnet to:


III Airfreight


A General instructions

All airfreight cargo must be sent 'freight prepaid' and showing MUC as airport of destination.

IV Ocean Freight


A General instructions

All cargo forwarded as sea freight must be sent 'freight prepaid'. In all instances please us Express Bills of Lading.

VI Courier shipments

Shipments via courier are not recommended and should be discouraged. Exhibitors nevertheless intending to do so are strongly advised to consign such shipments to our Munich office at Franz Lehner Str 11 on a duty paid basis.
Please note the Exhibition Centre and the organizers will not accept or take responsibility for any international courier shipments consigned to your-self at the venue or the organizers.


VII Advance notification


Full details of the shipment including copy B/L and or AWB, commercial invoices/packing lists and certificates as appropriate must sent via fax arrival to:

VIII Return shipments

At the conclusion of this event, DHL Trade Fairs & Events will be coordinating the outbound activities for our customers to their countries of origin. Customs exit formalities must be finalized before any international goods will be allowed to leave the show. We will discuss the appropriate arrangements with each exhibitor during the exhibition. If, however the outbound disposition of your goods is known in advance of the show, please notify us at your earliest convenience.


IX Forklift, labour during build-up and dismantling

Unless otherwise agreed, the goods shipped via DHL Trade Fairs & Events will be delivered near to or on to your exhibition stand during the tenancy hours. Should you need unpacking or additional positioning/forklift services, such can be ordered on-site.


X Storage of empty packing materials

Empty packing material, boxes and cases may not remain on the stand. Storage can be ordered in advance or on-site. Due to fire regulations all empty packing materials will be stored off site and returned at the close of the event. Where an exhibitor and or their stand builder has not ordered empty case storage, such items may be forced in to store and held pending payment of storage fees.


XI Insurance

We recommend you to check that your shipment is insured during the transports to and from the exhibition. If you do not have a general insurance covering this please ask our partner who most likely can assist you or contact your normal insurance company.
